Client workspace

Client portal for agencies

Clients see progress. Your internals stay internal.

The client workspace is a role-based client view inside your agency's own branded app. Clients see scope, timeline, deliverables, approvals, reports, contracts and payment status, and nothing internal.

It works as a client portal on the phone and on the web. Client users do not count as employee seats.

  • Mobile app or web portal
  • Client users not billed

The problem

The client relationship runs through chat groups

  • Status is asked for, not seen. "Where are we?" arrives every other day.
  • Approvals are scattered. A yes in a voice note, a change in an email.
  • Disputes have no record. Nobody can show when something was delivered or approved.

How it works

Show. Ask. Approve. Prove.

  1. 1
Show. The client opens the app and sees stage, next milestone and what is pending.
  2. 2
Ask. Requests come in as tracked items with an owner and a date.
  3. 3
Approve. Work, quotations and contracts are approved in one queue.
  4. 4
Prove. Every delivery, view and approval is timestamped.

Home screen

What clients see

The client workspace home screen answers the questions clients normally ask over chat:

  • Current stage and overall progress
  • Next milestone and final delivery date
  • Actions waiting on the client, and actions waiting on the agency
  • Payment status
  • The latest report
  • Their account manager

The agency chooses which of these each client sees, and in what order.

Scope

Client timeline, scope and monthly entitlements

Timeline. One client timeline per project, retainer or campaign, with stages, milestones and dependencies. A client can open a milestone and see its status, due date and next step.

Scope. The client sees what they bought: services, deliverables, quantities, revision limits, exclusions and each side's responsibilities. Approved scope is locked. A change becomes a change request, classified as included, paid, or needing a new quotation.

Monthly entitlements. For retainers, the client sees what is included this month, what has been delivered, what is in progress and what remains. Extra work is labeled as extra. Monthly entitlements are part of Agency Growth and Agency Scale.

Requests

Client requests, briefs and approvals

Requests. Instead of untracked messages, a client submits client requests: new content, a revision, a new service, a meeting, support or billing. Each accepted request has an owner, a next step and an expected completion date.

Briefs. Clients complete a service-specific brief by typing or by voice. AI structures the answers into fields, and the client reviews the result before submitting.

Approvals. Client approvals for content, deliverables, quotations, contracts and timeline changes arrive in one queue. The client approves, rejects or requests a revision, and every action is recorded with the person, time and version.

Basic requests are part of every plan. The full request center, the brief builder and the approval center are part of Agency Growth and Agency Scale.

Evidence

Client reports and delivery evidence

Publish monthly, weekly or campaign client reports to the workspace. The client always knows where the latest report is.

Agency Root also keeps a delivery evidence log: when a deliverable was shared, when the client viewed it, when it was approved, when a revision was requested and where a delay came from. Entries are timestamped and cannot be rewritten.

Example: a client questions a late launch. The log shows the deliverable was shared on time and waited five days for approval.

Commercial

Contracts, invoices and payment status

Clients can read their active contract, earlier versions and addendums, and accept a contract in the app. Agency Root records the accepted version, the time and the person.

Invoices and payment status are visible to the client users you allow, such as the client's finance contact. Payments and invoices in the client workspace are part of Agency Growth and Agency Scale.

Safety

What stays internal

Clients never see:

  • internal notes and internal review comments;
  • salaries, costs and margins;
  • private AI outputs;
  • anything belonging to another client.

This is enforced on the server, not only hidden in the interface. Read more about what clients can and cannot see.

Creative files stay where they already live. Agency Root stores secure links to Google Drive, Dropbox, Frame.io, Canva, OneDrive, YouTube or Vimeo, not the heavy files themselves.

Client roles

Client roles and permissions

One client company can have several users with different roles: owner, admin, marketing, finance and viewer, plus custom roles. A finance user can see invoices without seeing content approvals.

Clients who prefer a browser can use the web portal with the same account.

Your brand

Your brand, not ours

Everything the client sees carries your agency's name, logo and colors, including notifications, emails and PDFs. The client app carries your agency's brand.

Questions

Questions about the client workspace

Do clients need to install an app?

No. They can use your branded mobile app or the web portal with the same account.

Do client users cost extra?

No. Client users are included under fair use and do not count toward your employee entitlement.

Is this a file-sharing tool?

No. It tracks deliverables, approvals and versions, and links to the files in the tools you already use.
